The 4Ds Roles and Responsibilities Workshop

Report

About the Workshop

This workshop is to help teams agree on their roles and responsibilities.

It invites people in the team to think about the 4Ds of roles and responsibilities: Decisions, Direction, Duties and Domain and helps highlight opportunities for collaboration and gaps that need addressing.

It then creates the space for the team to examine, discuss and agree who is responsible for what.

When should you use this?

You should use this when starting a new team, resetting a team, or reviewing when necessary.

Who should be involved?

Invite everyone on your team. After introducing the approach, you can do some of the workshop asynchronously to give people time to think.

I'd suggest doing the synchronous parts face-to-face, even if you are using a Miro board, as these conversations are crucial for building connections between team members.

The Workshop Agenda

  1. Introduce the meaning of the 4Ds

  2. Each member describes their responsibilities on cards

  3. They then describe each others' responsibilities on cards

  4. The whole team reviews the cards

  5. Discuss and identify disagreements and gaps

  6. Prioritise and agree on the next steps

What happens next

  • Agree on what you do with the gaps or areas that are not yet agreed

  • Agree on who is going to write up the descriptions

  • Agree when you will next review the write-ups

  • Agree when you will share them with others
